Privacy Policy

1. Overview

Calyvant is a receivables-intelligence service operated by Embel LLC. This Privacy Policy explains how Embel LLC collects, uses, stores, shares, and protects information when you visit Calyvant, use a Calyvant workspace, or connect a QuickBooks Online company.

2. Information We Collect

We collect information you or your organization provides, including names, job titles, work email addresses, phone numbers, business names and addresses, contact preferences, user roles, authentication information, support communications, and collection activities recorded in Calyvant.

If you submit a pilot Order, we also collect the Order details, typed electronic signature, authority and consent confirmations, applicable agreement versions, price, submission timestamp, and payment or onboarding status. We use this information to evaluate and process the Order, contact you, arrange payment and onboarding, and retain evidence of the transaction.

When an authorized user connects QuickBooks Online, Calyvant receives accounting and business information permitted through Intuit, which may include company information, customer records, invoices, balances, due dates, payment status, and related identifiers needed to provide Calyvant features.

We may also collect limited technical and service information, such as IP address, browser or device information, authentication events, timestamps, error information, and activity logs needed to operate, secure, and troubleshoot the service.

3. How We Use Information

We use information to provide and improve Calyvant, synchronize authorized accounting data, calculate receivables and collection insights, support collection workflows and forecasts, authenticate users, maintain workspace access controls, process pilot Orders, coordinate payment and onboarding, respond to inquiries and support requests, prevent misuse, secure the service, and comply with applicable legal obligations.

4. QuickBooks and Intuit Data

Calyvant accesses QuickBooks Online data only after an authorized user grants permission through Intuit's OAuth authorization process. Access is limited to the permissions granted through that connection.

QuickBooks OAuth credentials are stored in encrypted form and are used only to provide authorized QuickBooks connectivity for the workspace that established the connection.

5. How We Share Information

We do not sell customer accounting data or QuickBooks-derived data. We may share information with infrastructure, database, authentication, email, security, and support providers that help us operate Calyvant. These providers may process information only as needed to perform services for us and subject to applicable contractual or confidentiality obligations.

We may also disclose information when required by law, to respond to valid legal process, to protect users or the public, or to preserve the security, rights, and integrity of Calyvant and Embel LLC.

6. Workspace Access and Data Isolation

A customer organization controls which authorized users may access its Calyvant workspace. Calyvant uses tenant-level access controls designed to prevent one customer workspace from accessing another customer's QuickBooks and business data.

7. Data Retention

Account, workspace, collection, and QuickBooks-derived data is retained while the workspace remains active and afterward until the workspace administrator requests deletion or Embel LLC terminates the workspace in accordance with its agreement with the customer. Pilot Order and electronic-acceptance records may be retained as business transaction records for legal, tax, accounting, fraud-prevention, and dispute-resolution purposes.

We may retain limited information for longer when reasonably necessary to comply with legal, tax, accounting, fraud-prevention, dispute-resolution, or security obligations. Information in system backups may remain temporarily until those backups are overwritten or deleted through normal backup-retention cycles.

8. Disconnecting QuickBooks

An authorized workspace user may disconnect QuickBooks through Calyvant or revoke access through Intuit. When QuickBooks is disconnected through Calyvant, Calyvant revokes the Intuit authorization when available and removes the stored connection credentials, preventing future synchronization through that connection.

Disconnecting QuickBooks does not automatically delete customer, invoice, collection, or other data that was previously synchronized into the Calyvant workspace. A workspace administrator must submit a deletion request as described below to have eligible stored workspace data deleted.

9. Workspace and Data Deletion Requests

An authorized workspace administrator may request deletion of a Calyvant workspace and its eligible stored data by emailing hello@calyvant.ai. We may verify the requester's identity and authority before processing the request.

Embel LLC will complete a verified deletion request within 30 days. Deletion removes eligible workspace data from active systems, including stored QuickBooks connection credentials and QuickBooks-derived customer and invoice data. Limited records and temporary backup copies may be retained as described in the Data Retention section.

10. Security

We use administrative, technical, and organizational safeguards designed to protect information, including encrypted network connections, authentication and authorization controls, tenant-level data controls, and encrypted storage of QuickBooks OAuth credentials. No method of transmission or storage can guarantee absolute security.

11. Cookies and Similar Technologies

Calyvant uses cookies or similar browser storage that are necessary for authentication, session management, security, and core service functionality. We may also use limited technical information to understand service performance and diagnose errors.

12. Your Choices and Requests

Depending on your relationship with Calyvant and applicable law, you may request access to, correction of, or deletion of certain personal information. If your account is provided by your employer or another organization, you may need to direct your request to that organization as the workspace administrator.

13. Children's Privacy

Calyvant is a business service and is not directed to children under 13. We do not knowingly collect personal information from children under 13.

14. Changes to This Policy

We may update this Privacy Policy periodically. The current version will be posted on this page with its effective date. If changes are material, we may provide additional notice through the service or by email when appropriate.
